Exhibition Information

As part of SHMII-5, a commercial and technical exhibit will be displayed. Companies and institutions wishing to show and/or demonstrate their products and technologies will be able to do so at the Conference Exhibit. The exhibition will be accessible from Monday (Dec. 12) to Thursday (Dec. 15) and will offer two display options: 10’ x 7’ booths, and tabletops. Special arrangements and settings may be provided upon request.

The SHMII-5 exhibition will be an important venue for companies to display their latest products and services. The Conference Exhibit Hall will be adjacent to both the plenary and technical session halls and the luncheon room. All coffee and refreshment breaks will be held in the Conference Exhibit area.

Exhibit Location and Exhibit Space

The SHMII-5 Exhibit Hall is located on the ground level of the Ritz-Carlton, Cancún Hotel. It is 27 m long by 13 m wide, with a 9 m height clearance. Easy access to enhance dissemination of products and technologies is provided as the Exhibit Hall will be set up in the Ritz-Carlton Room I, next to the technical session halls.

The figure below depicts the Exhibit Hall floor plan with associated booth numbers. Booths may be combined or re-arranged to suit each exhibitor’s needs. Special requirements are subject to the approval of SHMII-5 Secretariat. Two exhibit space options are offered:

Booth and Tabletop Distribution in Exhibit Hall

Booth

The standard booth space is 10’ x 7’ (3 m wide by 2 m deep). The booths are modular stand systems made of aluminum elements with white enameled panels. Included in the price of each booth are:

• Company name displayed
• Spot lighting
• Table with tablecloth
• Two padded chairs
• Access to an electrical power outlet (limited to 5 Amp)

Connections to water, compressed air or specialty gases cannot be provided. Requirements for electric power with amperage higher than 5 Amp will have surcharge of $75 USD for every 30 Amp.

The cost of each 10’ x 7’ booth for the four-day duration of the exhibit is $2,950 USD (plus local 16% VAT). The price includes a full technical registration for one exhibitor. One or more booths may be reserved by downloading and completing the SHMII-5 Exhibit Reservation Form, and making a $500 USD deposit payment. Spaces will be allocated on a first-come first-served basis.

Tabletop

Exhibitors, institutions or individuals wishing to display literature or products without the need for a pre-assembled stand or booth, a tabletop display exhibit alternative is offered. Tabletops are available in spaces marked as T1, T2 and T3 in the Booth and Tabletop Distribution in Exhibit Hall figure above. Other spaces of the Exhibit Hall may be made available as tabletops upon approval of SHMII-5 Secretariat.Included in the price of each tabletop are:

• Table with tablecloth
• Two padded chairs
• Access to an electrical power outlet (limited to 5 Amp)

Spaces will be allocated on a first-come first-served basis.

Important Terms and Conditions

The cost of a booth or tabletop includes one full technical registration. Two accompanying persons are allowed for each additional exhibit registration paid. Exhibit registrations, however, do not include meals, access to technical sessions, tours or conference dinner). Separate lunch/meal tickets or a full technical registration need to be purchased separately for the accompanying persons.

• Spaces are assigned on a first-come first-served basis
• No space will be reserved without the $500.00 reservation deposit
• Reservation deposits are non-refundable
• All exhibitors must complete and sign the SHMII-5 Exhibit Space Contract
• Full payment for exhibit space is due by October 31, 2011. No refunds will be made past this date.
• Booth transfer from one exhibitor to another is possible with prior notification and consent from SHMII-5 Secretariat.
